Phi Theta Kappa International Honor Society Alpha Beta Chi Chapter Pima Community College – AZ September 23, 2006 Meeting Minutes
The executive board meeting of Alpha Beta Chi was held on Saturday, September 23, 2006 at 10:00am in the Downtown Campus Student Government Room. The Vice President of Fellowship took the written notes at this meeting, and the President took responsibility for placing them into a filed format.
i. Executive officers absent: Victor M. Castaneda Jr.
i. Beth gave those in attendance information about the All USA Scholarship. The requirements have changed for this scholarship. Students need to now have 53 transferable credits by August 31, 2007. Beth added that she had not received the applications for the current year. She expects to receive the applications around October 1, 2006.
i. Dorothy reminded the group about the Arizona Leadership and Honors Institute. The cost of registration is $80. Please contact Dorothy if you are interested in attending. ii. For the last several years Safe Halloween, has been a district-wide effort that would take place at El Con Mall on the last Saturday of October. This year Safe Halloween is being transformed into Safe Howl-o-ween will take place at Reid Park on October 27-29, 2006. Volunteers are needed from 5-8 on Friday and 5-7 on Saturday and Sunday. iii. Dorothy told the group that hallmark nominations were growing ever closer. Dorothy asked the group to send her ideas of administrators to be nominated for the Shirley B. Gordon (campus presidents and the chancellor) and the Administrator Award of Distinction (administrators except for the chancellor and campus presidents) iv. The following positions are still open: VP of Scholarship, VP of Administration, and campus liaisons for all campuses except for Desert Vista v. The Chapter raised $175.00 with the Better World Books Project.
i. Dorothy passed around sample roses for the induction ceremony. ii. The chapter will need to check on chapter pins for the Fall Induction ceremony. iii. Anyone who has an idea for speakers, theme, or ideas of possible honorary members should contact Cyrus Sorossh with their ideas. iv. All of the orientation dates were successfully rescheduled.
i. Karla thanked everyone who was able to attend the membership fellowship activity. ii. Karla asked for everyone who had ideas for fellowship ideas that the chapter could participate in.
i. October 14, 2006 will be the Border Clean up. We will meet at First Christian Church at Speedway and Euclid 740 East Speedway Blvd. Bring a hat, water, and snacks. Please do not wear shorts. ii. A suggestion was made to reschedule the date of the Las Madres Project. 1. Karla moved that the Alpha Beta Chi Chapter move the date of the Las Madres Project from October 21 to Sunday November 5, 2006. Sarah 2nd. Discussion followed. All in favor. Motion passed unanimously. iii. October 7, 2006 is a probable date for the chapter to take part in a park or graffiti clean up project. More details will follow about this event. iv. October 28, 2006 is the landfill and recycling trip. The meeting place for this event will be 7575 East Speedway Blvd between Kolb and Pantano. We will be meeting at 7:45am because the bus will be leaving at 8:00am. There is a limit of 35 people for this trip, and Sarah needs a head count no later than October 3, 2006. v. Sarah told us that she will be representing Pima Community College in an internet conference call between three colleges. If anyone has any suggestions for her about sustainability; they should contact her soon so that she can incorporate it into her discussion. vi. Sarah moved that the Alpha Beta Chi Chapter invite other chapters to participate in its service events. Karla 2nd. Discussion followed. All in favor. Motion passed unanimously.
i. All of the speakers, times, and rooms have been successfully organized. 1. John moved that the Alpha Beta Chi Chapter allocate $100 to the Honors Satellite Seminar Series for speaker gifts and refreshments. Avery 2nd. Discussion followed. All in favor. Motion carried unanimously. 2. John moved that the Alpha Beta Chi Chapter donate the money that it gains from selling refreshments to the Making Strides Against Breast Cancer Walk hosted by the American Cancer Society. Aindrea 2nd. Discussion followed. All in favor. Motion passed unanimously. ii. Las Madres Discussion 1. John agreed to take responsibility for the speakers for the Las Madres Forum. 2. Cyrus agreed to talk with an Art History Instructor at Desert Vista Campus about speaking about the Las Madres art work. 3. Sarah agreed to get room reservations made for the project.
i. Personal statements for the chapter web site need to be e-mailed to Avery by Friday morning so that the contact list page will be more complete. ii. Avery has created a “You Earned It!” poster for each of our six campuses. These color posters highlight some of the benefits of joining Phi Theta Kappa and outline eligibility requirements. Each poster provides contact information for that campus advisor as well as information concerning the orientation scheduled for that campus. iii. Avery has designed and/or revised several documents for inclusion in the packets for the chapter orientations, including: 2006-2007 Chapter Events Calendar, 2006 Satellite Seminar Schedule, Frequently Asked Questions, 2006 Five Star Enhanced Membership Checklist, Chapter Officer Contact List and Chapter Advisor Contact List.
i. The General Membership Meeting held at West Campus on September 11, 2006 had a less than lukewarm attendance. There were five (5) attendees, although only two (2) were members at large. There were difficulties in advertising due to West Campus Student Life not posting the flyers in a more timely manner. The meeting will be repeated at a later time, after the membership letters are shipped out and following orientations.
i. The Desert Vista Campus liaisons revamped the Phi Theta Kappa board at their campus. ii. The liaisons also sent out an e-mail to prospective members in response to the information given to them from Clubs week at Desert Vista Campus

All-USA Community College Academic Team Scholarship To be eligible, you must: · have a minimum cumulative GPA of 3.25 on a 4.0 scale · have completed a minimum of 45 semester college-level credits by December 31, 2006 OR 53 college-level credits by August 31, 2007 · be seeking an Associate or Bachelor’s degree
In the scholarship application you will be asked to demonstrate: · academic excellence through your transcript · how well your courses match your career goals · leadership and public service · how you have applied your education outside the classroom to benefit society
Two students will be nominated from each campus, and will automatically receive a two-year full-tuition waiver to any of the three Arizona state universities. The applications will also be judged at the national level for a possible $2,500 scholarship and additional recognition in USA Today. Application Deadlines (non-negotiable) by Campus:

A. Since our last meeting, I have made several updates to the calendar on our chapter website. I have also announced October and November events on the forum and on the announcements blog. B. Thank you for submitting your personal statements. I have added all of them to the Contacts page. C. I have added a page explaining how to join Phi Theta Kappa (from the back side of the invitation letter), as well as a fee waiver PDF document including information and a request form. D. I have updated the Leadership Opportunities page on the Chapter Website to reflect the current needs of the chapter.
2. Publicity for Projects: A. I sent out an announcement of the graffiti clean-up, via the PTK distribution list. B. I sent out an announcement regarding other October and November service projects and the Honors Satellite Seminar Series, via the PTK distribution list. C. I sent out a cancellation notice, for the Las Madres Border Clean-up, via the PTK distribution list. D. I wrote a press release for seminar #2, “The Iraq War and Its Consequences in the Middle East” and submitted it to The Arizona Daily Star, The Tucson Citizen, and The Tucson Weekly. E. I compiled a list of Pima’s 25 political science instructors and sent an email to each one. The emails invited each of them to attend seminar #2 and asked them to encourage their students to attend, as well. I pasted a copy of the press release at the bottom of each email.
3. Calendar for Orientation Packets: A. I have revised information for the orientations and the Las Madres Project on the 2006-2007 Chapter Events Calendar.
4. Providing Information to the VP of Public Relations: A. Method – The best way to provide me with information is via Email. This eliminates the possibility that I might miss or mishear something. However, in the case of an immediate need, a phone call or voicemail might be necessary. B. Completeness – Please provide the most complete information that you can. This will reduce the amount of questions we must answer and will supply me with the raw materials needed to generate public interest. C. Timeliness – It is essential that I am notified of any changes or cancellations regarding event meeting times and places, as soon as possible. If people show up to a publicized event and we are not there, it will not help our image or reputation.
